Policy Penguin (“we,” “our,” or “us”) analyzes your insurance information and stores the extracted data in your private vault. Original documents are processed and deleted. We never sell your individual information.

How We Process Your Information

You may provide information to us by uploading documents, entering data manually, forwarding communications, or authorizing us to access information on your behalf. Regardless of how information reaches us:

  1. Analysis: Our AI extracts structured policy data from your information. Processing is automated.
  2. Deletion: Original document files are deleted promptly after processing. We do not store original documents.
  3. Data stored: The extracted policy data is stored in your private vault, powering your policy overview and analysis.

We use a technical fingerprint to detect duplicate submissions. This fingerprint cannot be used to reconstruct your document.

What We Collect

  • Account information: Email address and authentication credentials.
  • Extracted policy data: Structured information from your documents and other sources you provide, such as coverage types, premium amounts, deductibles, carrier information, vehicle and property details, policy dates, and other data contained in your policies.
  • Usage data: Log files, analytics, and technical information about how you use the service.

What We Don’t Collect

  • We only analyze information you provide or authorize us to access. We do not independently access third-party accounts without your authorization.
  • We do not collect payment information (bank accounts, credit card numbers) from your policy documents.

How We Use Your Information

  • Provide and improve the Policy Penguin service.
  • Generate anonymized, aggregate insights (such as average premiums by region or common coverage patterns) to improve analysis for all users. This aggregate data never identifies individual users or policies.
  • Communicate with you about your account or important updates.
  • Detect and prevent abuse.

Sharing of Information

We do not sell or rent your individual information. We may share limited data with trusted service providers to operate the service (such as cloud hosting, data processing, and analytics). We may also disclose information when required by law or to protect our rights.

Data Retention

  • Document files: Deleted promptly after processing.
  • Extracted policy data: Retained while your account is active.
  • Account deletion: When you delete your account, your associated data is deleted.

Cookies and Analytics

We use cookies for session management and standard web analytics. We do not use cookies for third-party advertising.

Your Rights

You may access your data through your vault, delete your account and all associated data, or request a copy of your stored data. Depending on your location, you may have additional rights under applicable privacy laws. Contact us to exercise them.

Security

  • Encryption in transit (HTTPS/TLS) for all connections.
  • Automatic deletion of original documents after processing.
  • Authentication required for all vault access.

Children’s Privacy

Policy Penguin is not directed at children under 13. We do not knowingly collect information from children.

Changes to This Policy

We may update this policy. We will notify you of material changes through the service or by email.
